  • The Deutsche Post subsidiary increases its competitive edge with Beta Systems due to faster mail processing and achieves significant reductions in postal charges for its customers

Berlin, Germany. 20 February 2007 – Beta Systems Software AG (Prime Standard: BSS), provider of high-quality software products and services for secure and efficient document management, today announced that Deutsche Post In Haus Service GmbH (DPIHS), a subsidiary of the German Post Office, has selected Beta Systems' mail scanning solution to process large quantities of letters. The Enterprise Content Management solution is comprised of scanner hardware as well as image processing and recognition software.  It has been in use since autumn 2006 at DPIHS' Munich-based service centre, where tens of thousands of letters from three large customers are captured and sorted using the mail scanning technology. The system underpins DPIHS' initiative to transition from manual sorting to automated mail processing. Very large volumes of letters can now be processed at high speed and with a minimal error rate. In addition, the Beta Systems solution sorts outgoing mail, optimises postage, and automatically logs returns from mailings in the master database. DPIHS is currently planning to equip other service centres in Frankfurt, Augsburg and Koblenz with the new technology in the near future.

Cost Savings with Fast and Accurate Mail Sorting
Deutsche Post In Haus Service GmbH (DPIHS) is a wholly-owned subsidiary of Deutsche Post AG (the German postal service) and handles the entire spectrum of upstream and downstream mail processing tasks for its customers throughout the country. Large-scale enterprises in particular are increasingly outsourcing areas like mail processing, as they are not part of their core competencies.

Against this backdrop, more than 190 enterprises spanning all industries have already outsourced their entire corporate mailroom service to DPIHS. Several of these have been expanded and are now service centres in their own right, handling all incoming and outgoing mail for other companies in the same region.
In one of its largest service centres in Germany, the Munich-based corporate mailroom of Siemens AG, DPIHS started out using the Kleindienst MailScanner SC60HC-MN and the image processing and recognition software ProSort 3. This centre handles outgoing mail for three large customers – public authorities in Munich – which benefit from postage rebates due to the quantity of letters they send. By quickly sorting all outgoing mail, the MailScanner performs a valuable service for the postal firm.

Impressive Read and Sort Performance
The MailScanner's mechanical sort performance is particularly impressive here, with core features including a reloadable feeder mechanism and the separation of outgoing letters, as well as throughput checks and final sorting that is accurate to at least 98 per cent. As for read performance, the recognition rate is over 90 per cent for printed addresses that are machine-recognisable, while exceeding 99.5 per cent for barcodes.

Processing Steps Run Automatically; Flexibility to Cater for Special Requests
Beta Systems' technology automates the multiple processing steps involved in handling such large volumes, enabling them to operate several times faster and with a significantly lower error rate. Dieter Bauer, DPIHS' head of resource management: “Every day, in our Munich service centre, we have to sort tens of thousands of letters by format, postage and postal region and separate out handwritten letters. This is simply made more economical with Beta Systems' technology. ” As a result, DPIHS has been able to maintain and extend its competitive position in a market opening up to other service providers. Its customers benefit from faster turnaround and significant savings on postage costs. Alongside DPIHS' Munich service centre, there are plans to acquire additional MailScanners for similar centres in Augsburg, Frankfurt and Koblenz.

In addition, DPIHS is already capable of handling special requests for its customers. “The MailScanner technology enables us to fulfil our customers' specific requirements, such as billing by cost centre,” comments Alfred Braun, subsidiary manager of DPIHS’ Munich service center.
