Day by day, companies have to handle a multitude of data and documents of all shapes and sizes. Many of them have to be stored for a long time but still need to be available immediately on demand. LDMS ensures securely and reliably storing large numbers of documents in a central archive on the IBM zServer. Even documents with a scope of several hundred thousand pages are managed in the archive with ease. All digital documents – including lists, AFP data, image and video formats, e-mails, PDF/A, Office files created in-house or scanned incoming mail – can be stored there in an auditable manner and are available to every user with the required access rights anywhere in the world around the clock.
The archive can be accessed via the LDMS client. Powerful research functions that allow the simultaneous search of multiple lists and documents support users from the specialist departments. This way, routine processes performed many times each day, such as searching for/in a document, displaying or editing and possibly forwarding or printing can be done very quickly and easily.
The workflow functions of LDMS facilitate fast handling of document-based processes. Incoming documents are directly sent to the electronic inbox of the person in charge. After each processing step, the document can be forwarded – optionally to multiple locations simultaneously. LDMS can also be integrated directly into other applications. Documents created on the job can be placed in the archive – ideally as an electronic record – directly from within the application (e.g. WORD, EXCEL etc.) by specifying the required index properties. Thanks to these functions, electronic document management with LDMS saves time, money and frustration.
